School Secretary

Woodleigh School Senior Campus is seeking a School Secretary on a permanent part-time (0.8FTE) basis.

Position: School Secretary Campus: Senior Reports to: Director of Careers / Deputy Principal – Community, Culture and Student Experiences

Collaborates with: Staff, Students, Principal, External Round Square Schools, Parents

Position Summary

The School Secretary is responsible for providing efficient and effective administration support to ensure the smooth operation of the Senior Campus.  The role supports the Careers Faculty and provides administrative support for the Deputy Principal – Community, Culture and Student Experience. 

Key Responsibilities


  • Provide administrative and logistical support to the Director of Careers and associated careers programs, including the careers newsletter
  • Prepare key communication documents for the Director of Careers
  • Managing and maintaining the Woodleigh Careers website
  • Support the event management of all major Careers events
  • Maintain historical records of all Careers files, including reports, career interview notes, etc.
  • Any other administrative tasks as requested by the Director of Careers

Deputy Principal – Community, Culture and Student Experiences Administration support

  • Provide administrative and logistical support to Senior Campus events and programs, including but not limited to International and Round Square opportunities, Broadening Horizons Program, Year 8 School Visit Program
  • Assist and support the Risk and Compliance Management processes for excursions, incursions and the Activities program, including the coordination of the Senior Campus Risk meetings
  • Assist with the creation and management of individual Risk Manuals for all staff taking groups of students overseas
  • Manage and update the School Yearly Calendar in a digital context
  • Community Partnerships administration tasks, including support with transport and logistics
  • Manage and update Student Activity Locator database for all Senior Campus excursions
  • Support with logistics of Senior Campus Assemblies and Awards
  • Manage and administer all Senior Campus correspondence
  • Manage and administer the Senior Campus Operoo database and assist with the communication processes
  • Assist with the administration of Student Teacher placements
  • Provide administrative support to the Deputy Principal as required

  • Post-secondary qualifications and/or equivalent experience appropriate to office management/administration or education
  • Prior experience working in a school setting
